Agenda & travel information

 
Dear members of the Executive Bureau,

Following our previous communications regarding the 2018 Executive Bureau meetings, taking place in Strasbourg, France from 23 to 26 May, we are pleased to provide you with further information, including the draft agenda of the Executive Bureau Business Session and important information regarding travel to Strasbourg.

Important travel information
 
Please note that the French rail company, SNCF, will be affected by strikes throughout May, with many trains cancelled. We advise you to explore travel routes that do not rely on train connections from other French cities to Strasbourg, as these train journeys may be affected by this strike action.
 
More information on these rail strikes is available on the SNCF website
 
Other than flying directly to Strasbourg Airport, the EuroAirport (Basel-Mulhouse-Freiburg) and Karlsruhe (Baden-Baden) are located very close to the city of Strasbourg, and may be better options for travel to and from Strasbourg during this period.
 
There are several coach and taxi firms providing transfers from nearby airports to Strasbourg, however, the City of Strasbourg is also exploring options for transfers for participants of the Executive Bureau. Further information will be provided as soon as possible.
 
 
Hotels
 
We remind you that the main hotels selected for the UCLG delegation are the following:  The hotel is located at 15 minutes by tram from the European Parliament, where our meetings will be organized.

Both the Boma and Best Western hotels are located in the city centre.
 
Please note that our hosts have blocked a limited number of rooms with special rates in these hotels. To benefit from these, we invite you to finalize your reservation before 2 May.
 
A list of other hotels is also available via this link. A discount from 8 to 15% will automatically be applied.
 
 
Registration
 
If you have not done so already, please note that, for statutory and security purposes, you will need to confirm your participation by filling in the online registration form via Google Forms as soon as possible and before 11 May. You should fill in one form per participant.
 
IMPORTANT: Due to the security regulations of the European Parliament, we must receive registrations including all the information requested by 11 May in order to ensure access. You will not be able to access the meeting venue should you register after this date, and on-the-spot registrations will not be permitted.
 
 
IT security measures to enter the European Parliament
 
Due to security measures, the European Parliament requires every participant to fill in a form to declare their IT equipment (laptops and tablets). This form must be presented to the security agents every day before entering the venue.
 
To avoid long queues, we highly recommend you fill in and print this form beforehand. Please remember to keep it with you every day you will need to access the European Parliament.
 
 
Visas
 
We remind you that you may need a visa to be able to enter France, and that this process can be lengthy. We strongly recommend you start the visa procedure as soon as possible.

Transport
 
Our hosts will provide participants of the Bureau with a tram pass, valid during the three days of meetings (from 23 to 25 May).
